5. How We Use Personal Information

We use personal information where necessary to provide and operate WedPage and its associated services.

  • complying with legal, accounting and regulatory requirements; and
  • establishing, exercising or defending legal claims where necessary.

6. Our Lawful Bases for Processing

UK data protection law requires us to have a lawful basis for processing personal information.

Depending on the circumstances, we may rely upon:

Contract — where processing is necessary to provide a WedPage product or service that you have purchased or requested.

Legitimate interests — where processing is reasonably necessary to operate and secure WedPage, support our customers, prevent misuse and administer our business, provided those interests are not overridden by the rights and interests of the individual.

Legal obligation — where information must be processed or retained to comply with applicable law, including appropriate financial, accounting or regulatory obligations.

Consent — where we specifically ask for permission, including certain uses of sensitive information, optional communications or non-essential cookies where consent is required.

Where we rely upon consent, it can be withdrawn at any time. Withdrawal does not affect processing that took place lawfully before consent was withdrawn.

7. Dietary, Allergy and Accessibility Information

Guests may provide dietary, allergy, accessibility or other additional requirements when responding to a wedding invitation.

Some of this information may reveal information about a person's health, religious beliefs or other matters classed as special-category personal data under UK data protection law.

Where information provided through WedPage constitutes special-category personal data, we use the individual's explicit consent as our condition under Article 9 of the UK GDPR for processing that information.

WedPage asks for this consent when relevant information is provided through the Guest Hub.

We process this information for the purpose of helping the couple organise their wedding and, where appropriate, enabling relevant information to be provided to their venue, caterer or other wedding supplier.

Consent may be withdrawn at any time by contacting weddings@wedpage.co.uk. Withdrawal does not affect processing that took place before consent was withdrawn.

We aim to collect only information reasonably necessary for organising the wedding or associated events.

8. Information About Other People

Couples may provide personal information about wedding guests when creating and managing their guest list.

If you provide information about another person, you should only provide information reasonably required for managing the wedding and should avoid providing unnecessary sensitive information about them.

Guests are provided with access to information about how WedPage processes personal information when interacting with the service.

9. Information Available to the Couple

Information submitted by a wedding guest through their Guest Hub is generally made available to the couple responsible for that wedding.

This can include RSVP status, meal choices, dietary or accessibility requirements, event attendance and other information intentionally submitted by the guest.

Guests should therefore understand that information they provide for wedding planning purposes will normally be visible to the couple.

10. Venues and Wedding Suppliers

WedPage provides functionality allowing couples to export, download or share wedding information with their venue, caterer or other relevant wedding supplier.

This may include information such as guest names, attendance, meal selections, dietary and allergy information, accessibility requirements, seating information, accommodation and transport arrangements.

Where a couple independently downloads or shares information with a venue or supplier, that organisation may become separately responsible for its subsequent use of the information.

WedPage does not control how an independent venue or supplier processes information once it has been provided to them outside the WedPage service.

11. Service Providers

We use third-party service providers to help us operate WedPage.

These may provide services including:

  • website and cloud hosting;
  • photograph and data storage;
  • payment processing;
  • email delivery;
  • messaging and WhatsApp services;
  • printing and production;
  • fulfilment and delivery;
  • website security;
  • analytics; and
  • other technical infrastructure.

These organisations may process personal information on our behalf or, in some circumstances, act as independent data controllers.

We only provide information reasonably necessary for the relevant service and expect service providers processing information on our behalf to handle it appropriately.

We do not sell personal information.

12. International Transfers

Some of our technology and service providers may process or store personal information outside the United Kingdom.

Where personal information is transferred internationally, we take appropriate steps to ensure the transfer complies with applicable UK data protection law.

Depending on the destination and provider, this may include reliance upon UK adequacy regulations or appropriate contractual safeguards.

Further information about safeguards applying to your personal information can be requested by contacting weddings@wedpage.co.uk.

13. Photographs and Galleries

Where photo sharing is enabled, photographs uploaded through WedPage may be:

  • viewed by the couple;
  • displayed within the relevant wedding gallery;
  • organised into Smart Gallery categories where available;
  • selected for display through WedPage Live;
  • downloaded or retained by the couple;
  • used to create wedding-related products where selected and authorised; and
  • stored during the relevant WedPage hosting period.

Couples may have controls allowing photographs to be hidden, organised or moderated.

Guests should only upload photographs that they are entitled to share.

Further information is available in our Photo Upload Guide.

14. Smart Gallery and Automated Processing

WedPage may use automated technology to assist with organising photographs into categories or managing wedding content.

Automated classification is used to assist with the organisation and presentation of wedding photographs. It is not used to make decisions that have legal or similarly significant effects on individuals.

Where available, couples can review or change the organisation of photographs.

15. WedPage Live and Moderation

Where WedPage Live is enabled, photographs shared through WedPage may be selected for display on a screen at the wedding venue.

Couples have controls allowing photographs to be hidden from the live display.

Where additional moderation services are enabled, photographs may be processed to assist in identifying potentially unsuitable content.

Moderation is intended to support the wedding experience and cannot guarantee that every unsuitable item will be identified.

16. Communications

We may use contact information to send communications necessary for providing WedPage, including account and security messages, order confirmations, service information, wedding-related communications requested through the service, renewal and expiry information and customer-support communications.

Where electronic marketing requires consent or another applicable legal basis, we will comply with the relevant requirements and provide an appropriate method of unsubscribing.

17. How Long We Keep Information

WedPage is designed around the lifecycle of an individual wedding rather than indefinite storage.

Wedding operational information — including Guest Hub information, RSVP responses, meal information, wedding content, photographs and messages — is normally retained while the WedPage is active.

When the agreed hosting period ends, WedPage currently provides a 30-day grace period during which the WedPage may be renewed or restored.

If it is not renewed, the WedPage and associated wedding content may then be permanently removed from our active systems.

Information may remain temporarily within system backups until those backups are overwritten or deleted in accordance with our normal backup cycle.

Certain transaction, order, tax and accounting records may be retained for longer where this is necessary to meet our legal or regulatory obligations.

We may retain information in an anonymised form where it can no longer identify an individual.

Couples should retain their own copies of important photographs and content and should not use WedPage as their sole permanent archive.

18. Security

We use appropriate technical and organisational measures designed to protect personal information against accidental loss, unauthorised access, alteration, disclosure or destruction.

Access to personal information is restricted to people and service providers who reasonably require it for legitimate purposes.

No internet-based system can be guaranteed to be completely secure, but we regularly consider the measures appropriate to the information and services we provide.

19. Cookies and Analytics

WedPage uses cookies and similar technologies for purposes including providing essential website functionality, maintaining security, remembering appropriate preferences, understanding how our website and services are used and measuring performance.

Where consent is required for non-essential cookies or similar technologies, they will only be used in accordance with the choices you make.

Further information is available in our Cookie Policy.

20. Your Data Protection Rights

Depending upon the circumstances, UK data protection law may give you rights including:

  • the right to be informed about how your information is used;
  • the right to access personal information held about you;
  • the right to have inaccurate information corrected;
  • the right to request deletion in certain circumstances;
  • the right to restrict processing in certain circumstances;
  • the right to object to certain processing;
  • the right to data portability in certain circumstances; and
  • rights relating to certain automated decision-making.

Where processing is based upon consent, you may withdraw that consent at any time.

These rights do not apply identically in every situation. Their availability can depend upon the circumstances and the lawful basis on which information is being processed.

To exercise a data protection right, contact weddings@wedpage.co.uk.

21. Complaints

If you have concerns about how we handle personal information, please contact us at weddings@wedpage.co.uk so that we can investigate.

You also have the right to complain to the Information Commissioner's Office (ICO), the UK's independent data protection regulator.

Further information is available from ico.org.uk.

22. Changes to This Privacy Policy

We may update this Privacy Policy from time to time to reflect changes to our services, technology or legal obligations.

The latest version will be published on this page together with the date on which it was last updated.
