How can we help you?
A place for everyone. A little less planning stress for you.
Deciding where everyone will sit at your wedding breakfast can feel like solving a rather complicated puzzle!
You want friends to enjoy themselves, families to feel comfortable and everyone to have a wonderful time celebrating with you.
Then there are table sizes, children's seating arrangements, meal choices and dietary requirements to consider.
Thankfully, WedPage helps you bring everything together in one place.
Your Couple Hub allows you to organise guests into tables, review their arrangements and prepare useful seating information for your wedding venue.
And you don't need to work everything out in one sitting.
Let's get started.
1. Open Your Wedding Seating Plan
Sign in to your Couple Hub and open the Seating Plan section.
This is where you can begin organising your wedding breakfast tables and deciding where your guests will sit.
Your seating plan works alongside the guest information you've already entered into WedPage, so there's no need to create another list of names.
A little tip: It's usually easiest to begin your seating plan once most of your daytime guests have responded to their invitations.
You can start earlier, but remember that guest numbers may change.
2. Check Your Guest List First
Before arranging tables, take a moment to review your guest information.
Make sure you've:
- Added everyone attending your wedding breakfast.
- Recorded any changes to your daytime guest list.
- Checked which guests have confirmed their attendance.
- Included children who'll need a seat.
- Reviewed any outstanding RSVPs.
Your seating plan will be much easier to manage when your guest list is up to date.
Remember that evening-only guests won't normally need a place at your wedding breakfast unless they're attending another seated event.
3. Create Your Wedding Tables
Start by adding the tables you'll need for your wedding breakfast.
Give each table a name or number that makes sense for your celebration.
You might prefer traditional table numbers, such as Table 1, Table 2 and Table 3.
Or perhaps you're planning something more personal, with tables named after favourite places, flowers, songs or memorable holidays.
A little tip: Before deciding how many tables you'll need, check the available table sizes and seating arrangements with your venue.
A round table seating eight guests may need a different layout from a long banquet table.
4. Start Assigning Your Guests
Once you've created your tables, you can begin deciding where everyone will sit.
Choose a table and assign guests from your wedding guest list.
As you build your seating plan, WedPage keeps track of the guests you've allocated, helping you organise the arrangements without maintaining a separate spreadsheet.
You can work through your guests gradually, starting with the people whose seating arrangements are easiest to decide.
For example, you might begin with your immediate families, wedding party or groups of close friends.
Remember: You don't need to complete every table straight away. It's perfectly fine to leave some guests unassigned while you work out the remaining arrangements.
5. Keep Families and Friends Together
This is where a little thought can make a big difference to your guests' experience.
You might want to consider:
- Keeping couples together.
- Seating younger children with their parents or guardians.
- Placing friends with people they already know.
- Helping guests who are attending alone feel included.
- Keeping elderly relatives comfortable and close to suitable facilities.
- Considering family relationships or circumstances that might affect seating.
There's no single correct way to organise a wedding seating plan.
Some couples prefer tables made up entirely of existing friendship groups, while others enjoy mixing guests together.
Choose the arrangement that feels right for your celebration.
6. Include Yourselves in the Seating Plan
Don't forget two very important guests — you!
WedPage includes the couple in the wedding seating information, allowing you to account for your own places at the wedding breakfast.
You might be planning a traditional top table, a sweetheart table for just the two of you, or a more informal arrangement with family and friends.
Whatever you choose, make sure your own seating arrangements are included.
A little tip: If you're planning a top table, confirm the available space and layout with your venue before finalising who'll sit there.
7. Check Dietary Requirements and Allergies
Your seating plan isn't just about who sits where.
It can also help your venue identify guests with important catering requirements.
Because WedPage connects guest information with meal selections and dietary details, your seating arrangements can be used alongside the information collected during RSVPs.
For example, your venue may need to know:
- Which table a guest with a food allergy is sitting at.
- Whether a guest has requested a vegetarian or vegan meal.
- Which children have selected children's meals.
- Whether any guests have additional dietary requirements.
Having accurate seating and catering information together can make the wedding breakfast easier for your venue to organise.
Important: Always review allergy information directly with your venue or caterer. A seating plan helps staff identify guests, but it doesn't replace the venue's food safety procedures.
8. Review Guests Who Haven't Been Seated
As you work through your tables, check whether anyone is still waiting to be assigned.
It's easy to overlook someone, especially when you're making changes to a large guest list.
Review the remaining guests and check that everyone who needs a seat has been included.
Pay particular attention to children, guests who have recently accepted their invitation and anyone whose attendance arrangements have changed.
A little tip: Keep a few possible seating alternatives in mind until your guest numbers are confirmed.
9. Make Changes as Your Plans Develop
Even the most carefully prepared seating plan may need adjusting.
A guest might be unable to attend, a family arrangement could change or you may simply decide that a different table combination would work better.
Return to your Seating Plan in the Couple Hub to review and update your arrangements.
You can move guests between tables as your plans develop.
There's no need to start again every time something changes.
However, once you've shared a seating plan with your venue or sent it for printing, remember to communicate any subsequent changes.
10. Prepare Your Table Plan for Printing
Once you're happy with your seating arrangements, you can begin preparing the table plan your guests will see on the day.
This might be a beautifully printed welcome display showing guests which table they're seated at.
You could also prepare individual place cards, table names or other matching stationery.
Before approving any printed items, carefully check:
- Guest names and spelling.
- Table names or numbers.
- That every seated guest is included.
- That each guest appears at the correct table.
- That the printed version matches your latest seating arrangements.
A little tip: Try to avoid sending your table plan for printing until you're confident your guest numbers and seating arrangements are sufficiently settled.
11. Share Your Seating Arrangements with Your Venue
When your seating plan is ready, you can include the information in your Venue Workbook.
The Venue Workbook brings together important wedding arrangements from different parts of your Couple Hub.
Depending on the information you've entered, this can include:
- Guest attendance.
- Seating assignments.
- Meal selections.
- Dietary requirements and allergies.
- Other information relevant to your venue.
This helps your venue understand not only how many guests are attending, but where they'll be seated and which arrangements require attention.
Why is this useful?
Instead of manually matching a seating plan to a separate meal spreadsheet, your venue can work with connected guest information.
That can make preparations easier for the catering team and wedding coordinator.
12. Carry Out Your Final Checks
As your wedding approaches, take time to review the seating plan one final time.
Check that your guest list, meal information and seating arrangements agree with one another.
Confirm your final table layout with your venue, including any practical requirements for children, wheelchair access or other accessibility needs.
Remember that WedPage's six-week guest finalisation deadline restricts guests from making their own changes, but you can still manage genuine exceptions.
If anything changes after you've provided information to your venue, make sure they receive the updated arrangements.
And once everything is confirmed?
That's one more big wedding-planning task you can tick off your list!
Frequently Asked Questions
When should we start creating our seating plan?
You can begin whenever you're ready, although it's usually easier once most of your daytime guests have responded.
Can we change the seating plan later?
Yes. You can return to your Couple Hub and adjust guest assignments as your plans develop.
Do we need to add all our guests again?
No. Your Seating Plan uses guest information already held within your Couple Hub.
Can we use names instead of table numbers?
You can organise your tables using names or numbers that suit your wedding.

The Venue Workbook can bring seating and dietary information together to help your venue prepare. Always confirm allergy requirements directly with the venue or caterer.

No. Your seating information helps you prepare and check the arrangements. Printed table plans and related stationery are handled separately according to your chosen package and print arrangements.
