How can we help you?
All your favourite people. One beautifully organised guest list.
One of the most exciting parts of planning your wedding is deciding who you'll share your special day with.
But keeping track of names, addresses, invitations and responses can quickly become a big job.
That's where WedPage comes in.
Your Couple Hub brings your wedding guest list together in one place, helping you organise households, distinguish between day and evening guests, and prepare for invitations and RSVPs.
Whether you're inviting 20 people or 200, let's get everyone organised.
1. Open Your Guest List
Sign in to your WedPage Couple Hub and open the Guests section.
This is where you'll build and manage your wedding guest list.
You can add guests individually or import an existing list using WedPage's downloadable spreadsheet template.
If you're starting from scratch, adding guests individually is a great way to begin.
If you've already created a guest list in Excel or Google Sheets, importing it could save you considerable time.
2. Add Your First Guest
Select the option to add a guest.
You'll be able to enter their details, including:
- First name and surname
- House name or number
- Address and postcode
- Email address
- Telephone number
- Invitation type
- Whether they're an adult or child
Complete the information you have available and save the guest.
Don't worry if you don't have everyone's contact details yet. You can return and update individual guest records later.
A little tip: It's worth entering names carefully from the beginning, particularly if you'll be using them on printed invitations, place cards or other personalised stationery.
3. Choose Day or Evening Invitations
Not every guest will necessarily be attending the same parts of your wedding.
WedPage allows you to distinguish between guests invited to your daytime celebration and those joining you for the evening.
Day Guests
These are typically guests invited to your ceremony and wedding breakfast, as well as your evening celebration.
Day guests can be asked to make meal selections where applicable.
Evening Guests
These guests join you for the evening celebration.
They won't be asked to select a formal wedding breakfast meal, although WedPage can still collect relevant dietary information for evening catering.
Choose the appropriate invitation type for each guest.
You can update this later if your plans change.
4. Add Children to Your Guest List
If children are invited to your wedding, add them to your guest list just as you would an adult.
When entering their details, select Child rather than Adult.
This helps WedPage distinguish between adult and younger guests when managing catering arrangements.
If you're offering a children's menu, WedPage can present suitable meal choices during the RSVP process.
Your guest information can also include practical requirements such as highchairs and cots.
A little tip: Add each child as an individual guest, even when they're attending with their parents. This helps keep your guest numbers and catering information accurate.
5. Organise Guests into Households
Here's where WedPage starts making things easier.
Rather than treating every guest as a completely separate invitation, WedPage can group people who share the same address into a household.
For example:
The Williams Household
- Sarah Williams — Day Guest
- Daniel Williams — Day Guest
- Oliver Williams — Child
- Sophie Williams — Child
All four guests can be associated with the same household, helping you organise invitations and keep track of who is attending together.
WedPage uses address information to calculate household groupings automatically.
This can be particularly helpful when preparing printed invitations, as several guests may be invited together.
6. Check and Verify Your Households
Once you've added your guests, it's important to check that WedPage has grouped everyone correctly.
Open the household information within your Guests section.
Review the people grouped together and check their address details.
Look out for:
- Guests who share an address but haven't been grouped together.
- Guests whose address or postcode is incomplete.
- Different households that may have similar names or addresses.
- Children who should be grouped with their parents or guardians.
When you're happy with a household, use the available verification control to confirm it.
You can also use Verify All once you've checked the household information.
Why is this important?
Correct household information helps WedPage prepare accurate invitation and guest records, reducing the risk of sending duplicate invitations or overlooking someone.
If you add or change guests later, household totals may be recalculated and you'll need to review the affected information again.
7. Import an Existing Guest List
Already have your guest list in a spreadsheet?
You don't need to enter everyone again.
WedPage provides a downloadable Guest List CSV template to make importing easier.
To get started:
- Open the Guests section in your Couple Hub.
- Download the Guest List template.
- Open it in Excel, Google Sheets or another compatible spreadsheet application.
- Enter your guests, keeping the existing column headings.
- Save or export the completed file as a CSV.
- Return to WedPage and upload the file using the guest import option.
The template includes columns for names, addresses, contact information, invitation type and whether each guest is an adult or child.
Preview Before Importing
WedPage checks your spreadsheet and shows an import preview before you confirm.
It may highlight missing address information, invalid email addresses or other details that need attention.
Review the preview carefully before confirming your import.
Once imported, your guests will appear in your Couple Hub.
Important: After importing, check and verify the household groupings. This helps ensure your guest list is organised correctly before you move on to invitations.
8. Review Your Guest Numbers
As your guest list grows, WedPage helps you keep track of who's invited.
You can review your guests and their invitation types, giving you a clearer picture of the size of your celebration.
This is useful when discussing guest numbers with your venue, caterer or other suppliers.
Remember that your initial guest list represents the people you're inviting, not necessarily everyone who will attend.
Once RSVPs begin arriving, WedPage can help you distinguish between confirmed guests, declined invitations and people who haven't responded yet.
9. Keep Your Guest List Up to Date
Wedding guest lists often change during the planning process.
You may receive a new address, need to correct someone's name or decide to move a guest from an evening invitation to a day invitation.
You can return to your Guests section to update individual records.
You can also remove guests who are no longer on your invitation list.
A little tip: Before deleting a guest, double-check that you've selected the correct person, particularly if you have several guests with similar names.
After changing addresses or adding new guests, review your household groupings again.
10. Get Ready for Invitations and RSVPs
Once your guest list is complete and your households are verified, you're ready to move towards inviting your guests.
WedPage connects your guest information with the invitation and RSVP experience.
As guests respond, you'll be able to keep track of attendance, meal selections and other important details within your Couple Hub.
This means less chasing, fewer separate spreadsheets and a much clearer picture of who's coming to celebrate with you.
And when it's time to share the final arrangements with your venue, your guest information can form part of your Venue Workbook.
Frequently Asked Questions
Do I need everyone's address before adding them?
No. You can start with the information you have and return to complete missing details later. However, accurate addresses are important for household grouping and printed invitations.
Can I import guests from Excel or Google Sheets?
Yes. Download WedPage's CSV template, complete it using your preferred spreadsheet application and upload the finished file.
Can I add guests one at a time?
Absolutely. You can add individual guests directly within your Couple Hub.
What is a household?
A household is a group of guests associated with the same address. WedPage uses households to help organise guest and invitation information.
What if WedPage groups guests incorrectly?
Check the address information for the affected guests and correct any differences. WedPage recalculates household information when guest details change, allowing you to review and verify the groupings again.
Should children be added separately?
Yes. Each child should have their own guest record so WedPage can account for them when managing guest numbers, meals and other arrangements.
Can I have separate day and evening guest lists?
Yes. Each guest has an invitation type, allowing WedPage to distinguish between day and evening invitations.
Can I change someone from an evening guest to a day guest?
Yes. Edit their guest record and update the invitation type.
Will adding guests automatically send invitations?
No. Building your guest list is a preparation step. Adding someone to your list does not automatically send them an invitation.
Can I update my guest list after invitations have been prepared?
You can edit your guest records, but changes made after invitations or RSVP links have been prepared may require additional checks. Always review affected invitation details before using them.
